Reviewing purchase orders and expenses

Know Where Your Money Goes

When purchases and expenses are scattered, spending is hard to see. Record the flow from ordering to paying and review totals by account.

Most owners can tell you what they earned last month. Fewer can say, with confidence, where the money went. Purchases are ordered by one person, received by another and paid by a third, and each step may live in a different file or notebook.

The problem with scattered records

When ordering, receiving and paying are not connected, you cannot easily tell what has been ordered but not received, or received but not paid. Expense reviews turn into detective work, and surprises appear only at month-end.

One flow from order to payment

easyFS records the flow from ordering to paying, and summarizes it by account:

  • Purchase Order and Receiving Report document what you ordered and what actually arrived.
  • Disbursement records every payment, so nothing leaves the bank or cash box without a trace.
  • Totals by account show how much went to each expense category, ready for review.

Better decisions, not just better records

Once spending is visible by account, conversations change. Instead of asking why the month was expensive, you can point to the account that grew and the purchases behind it. Approvers see the order and the receipt together, which makes it easier to catch duplicates and mismatches before they are paid.

An illustrative scenario

A restaurant group orders ingredients, packaging and cleaning supplies from many suppliers. The kitchen manager places orders, a store clerk signs the delivery receipts, and the accountant pays the bills at the end of the month. If the three people use three different notebooks, a bill for goods that were never fully delivered can easily be paid in full.

Recording the Purchase Order, the Receiving Report and the Disbursement in one flow puts the three documents side by side. The accountant can see that 50 units were ordered, 45 were received and a bill for 50 has arrived, and raise the difference before paying.

Questions a connected record can answer

  • What have we ordered that has not yet arrived?
  • What has arrived but has not been paid?
  • Which expense accounts grew this month, and which purchases explain it?
  • Which supplier received the largest share of our payments this quarter?

None of these questions is difficult. They only become difficult when the data to answer them is in several places. Keeping one record per step, and summarizing it by account, turns each question into a quick lookup instead of an afternoon of searching.

Simple to adopt

easyFS is cloud-based, with no servers and no update work. Your purchasing and finance teams work from the same data, whether they sit in one office or several.

Frequently asked questions

Do I have to use Purchase Orders for every purchase? How strictly you apply the flow is your decision. The more purchases follow the order, receive and pay steps, the more complete your picture of spending becomes.

Can I see spending by category? Yes. Totals by account show how much went to each expense category.

Does this replace my approval process? No. It supports it. Approvers see the order and the receipt together, which makes checks easier.
