Checking employee leave balances

Making Leave Balances Clear for Everyone

When nobody is sure how many leave days are left, questions and disagreements follow. Keep credits, requests and reports in one place.

“How many vacation days do I have left?” is one of the most common questions HR hears. If the honest answer is “let me check the spreadsheet”, the question is likely to come back every week.

Why leave balances become unclear

Leave is tracked in many places: a yearly spreadsheet, approval messages, a form on paper. Credits are different for each leave type, and they start over each year. When a request is approved in a chat but never recorded, the balance is wrong from that moment on. Later, the employee and HR remember different numbers.

Credits, requests and reports together

easyHR puts the whole leave process in one system:

  • Leave Credits are set per year and per leave type, so each employee has a clear starting balance for each kind of leave.
  • Leave Application and approval means an employee files a request and it is approved through the system, so the decision is recorded where the balance is kept.
  • Leave Report gives HR one place to see leave taken and what remains.

Because filing, approving and reporting use the same data, the balance moves when leave is approved and not when someone remembers to update a file.

Fewer questions, fewer arguments

Clear balances mean fewer back-and-forth messages. Managers can approve with the facts in front of them, and HR does not have to reconstruct a history when someone disputes a number.

An illustrative scenario

Imagine an employee who asks to take three days off next week. The supervisor agrees verbally, HR notes it in a spreadsheet, and the employee goes on leave. At the end of the year, the employee believes four days remain, HR’s sheet says one, and the approval message is somewhere in a long chat thread.

If the credits for the year were set by leave type and the request had been filed and approved in the system, the Leave Report would show the same figures to both sides. The discussion would be about what to do next, not about whose memory is right.

Habits for clean leave records

  • Set credits at the start of each year. Credits are kept per year and per leave type, so make that setup part of the new-year routine.
  • Use one channel for requests. A verbal approval that is not recorded will not change the balance.
  • Approve promptly. Pending requests make planning harder for the whole team.
  • Review the Leave Report regularly. A monthly look catches unusual patterns early.
  • Explain the rules once, clearly. Employees accept balances more easily when they know how credits work.
