Preparing year-end HR tasks

Keeping Year-End Tasks From Piling Up

December and January bring the 13th month pay and employee tax forms all at once. Build them from finalized payrolls instead of from scratch.

Year-end is when HR and payroll are busiest. The 13th month pay must be worked out, and each employee needs their annual tax form. If the year’s figures are scattered, all of this happens in the same few weeks.

Why year-end gets heavy

Both the 13th month pay and the annual tax form depend on a full year of payroll data. When that data sits in twelve or more separate files, someone has to total it by employee, check for missing months and deal with people who joined or left during the year. Mistakes are costly because the results go to every employee.

Reports built from finalized payrolls

easyHR prepares the year-end documents from payrolls that have already been finalized:

  • 13th Month Pay Report shows the 13th month pay computed from the year’s finalized payrolls.
  • Form 2316 per employee is prepared for each employee from the same finalized data, so the figures agree with what was paid and withheld during the year.

Since both come from finalized payrolls, the quality of the year-end documents depends on the quality of each cutoff. Any correction should be made and finalized before you run these reports.

Year-end becomes a review task

When the reports are generated from data already in the system, the year-end job looks more like the monthly one: run, review, correct, release. There is no need to rebuild a year of history under pressure.

An illustrative scenario

Imagine a payroll officer who starts the 13th month computation in the first week of December. She collects twelve monthly payroll files, finds that two employees were moved between groups mid-year, and spends days matching totals. Then the same files are needed again for the annual tax forms.

If every cutoff was finalized in easyHR, she opens the 13th Month Pay Report and checks it against what she expects. She then prepares Form 2316 for each employee from the same data. Her time goes to checking unusual cases, such as employees who joined late in the year, rather than to collecting data.

Habits that prevent year-end pile-ups

  • Finalize every payroll on time. Year-end reports are only as complete as the finalized payrolls behind them.
  • Fix corrections during the year. Do not leave known errors for December.
  • Review mid-year. A quick check in June catches setup problems early.
  • Plan the calendar. Decide when the 13th month report and the tax forms will be reviewed and released.
  • Keep employee details current. Forms are prepared per employee, so records should be accurate.

Easy to start

easyHR is cloud-based, so there is nothing to install. Your team can generate the year-end reports from a browser and always work on the current version.
