Verifying field staff locations

Verifying Where Field Staff Actually Work

Sales, service and delivery teams spend their days away from the office. Official Business records and geolocation help you see where logs were made.

A biometric device by the door works well for people who sit in the office. It tells you nothing about the employee who spends the day visiting clients, or the technician who starts from a customer site.

Why field attendance is hard

When employees work outside, HR often relies on messages or verbal reports. A missing office log looks like an absence, even though the person was working. The opposite problem also exists: a log made somewhere unexpected cannot be checked, so supervisors are left to trust or doubt it with no evidence.

Official Business and geolocation

easyHR offers tools for work done outside the office:

  • Official Business records document that an employee was out on company business, so the absence from the office is explained in the record.
  • Geolocation of logs made outside the office captures where a log was made, so HR can see the place and not just the time.
  • Geolocation and DTR Image reports let HR review the locations of logs, and the DTR images, in a report rather than going through individual records.

Geolocation and related features may depend on settings and user rights, so the company decides who uses them and who can view the results.

Trust, with a record

The purpose is not to watch people; it is to have something to look at when a question arises. A field employee with an Official Business record and a located log has a record that supports their day. A supervisor who needs to confirm something has more than a message to go on.

An illustrative scenario

Imagine a company with a small sales team. One representative visits clients across the city for most of the week. At cutoff, the office logs show nothing, and the supervisor says the representative was working. Without a record, HR has to choose between marking an absence and accepting a verbal statement.

With an Official Business record for those days and located logs from the field, HR reviews the Geolocation report and sees where each log was made. The days are counted as work, and if a question comes up later, the record is there.

Habits for fair field attendance

  • Record Official Business in advance when possible. It prevents false absences.
  • Explain the purpose to staff. People accept location records better when they know why they exist.
  • Review reports at each cutoff. Look at the Geolocation and DTR Image reports before payroll.
  • Limit who can see location data. Give access only to those who need it.
  • Follow up on the unusual, not everything. Reports help you focus on exceptions.

Easy to start

easyHR is cloud-based, so there is nothing to install. Field employees and HR can work from a browser, and the company always uses the latest version.
